Illustrative sample project AI and Automation Implementation
Practical AI
AI Workflow Audit and Automation Roadmap
Most small businesses do not need an AI strategy. They need someone to look at how work gets done and say honestly which part a tool can draft, which part can run on its own, which part needs a person, and which part is broken and should not be automated yet. This sample project sorts recurring processes into five buckets, adds human review checkpoints and simple data rules, and plans a 30-day pilot.
Elmwood Property Management (fictional) · Illustrative data. A hypothetical engagement that shows how Kelly would approach the problem. The skills are hers; the engagement is made up.
The scenario
- A residential property manager with a team of 20 (illustrative).
- Vendor invoices are re-typed from email into the accounting system.
- Maintenance requests arrive by email, text and phone, then get re-entered.
- Policies and FAQs live across old PDFs, emails and a shared drive.
- A chatbot gave a wrong answer about a policy and was switched off.
The ask: “Where can AI actually save us time without creating risk with tenants, owners or their data?”
The approach
- Start with the work, not the tool.
- Five buckets, honestly applied: keep human, AI-assisted, automate, redesign first, eliminate.
- Fix the process and the source documents before automating.
- Put human review checkpoints where errors are costly.
- Set guardrails sized for a small business, and flag legal questions for the company’s attorney.
- Pilot small, measure honestly, then scale. No projected savings are promised.
Deliverables
- Process inventory of recurring workflows
- AI opportunity matrix with reasoning
- Impact vs effort prioritization
- Automation architecture diagram
- Human-review checkpoint map and one-page AI use guardrails
- 30-day pilot roadmap with keep, adjust or stop criteria
What is real here
Kelly uses AI tools daily for SOP drafting, process mapping, documentation, research and reporting support, builds no-code workflows with tools such as Zapier and Make, and configured and explored HighLevel’s AI response and qualification features in a CRM build. The engagement is hypothetical and all data is fictional.
